The Paperwork That Decides Whether It Goes Smoothly
Corporate bookings fail at the counter for administrative reasons, essentially never for automotive ones. The recurring culprits are the same handful.

The booker is not the driver. The card is the company's and the licence is an employee's. The intended driver does not meet the age requirement for the chosen car. Several people plan to share the driving but only one was named. Finance needs a document that surfaced for the first time after the hire ended.
Each is trivial to solve at enquiry and genuinely disruptive on the morning of a site visit. So they are worth raising when you book rather than assuming.
Named Drivers, and Why It Matters More on a Site Day
Whoever drives must be named on the booking and verified independently - licence checked, age requirement met for the specific vehicle. That holds regardless of who is paying. A company card does not shift accountability for the car onto the company; the named driver stays responsible for it.
The bond follows from that. It is a pre-authorisation held against the named driver's card rather than the payer's, because the person accountable for the vehicle should be the person actually verified.
The sharing point deserves emphasis here specifically. On a site day with a long drive at each end, someone offering to take over on the way back is the most natural thing in the world - and an unnamed driver is not covered, even for that stretch. If there is any realistic chance two of your people will drive, name both at booking. It costs nothing and it removes the one scenario where an otherwise routine day becomes a serious problem.
Choosing the Car by the Job
Three questions decide it, and none of them are about badges.
How many people. Seven fits in an Audi Q7 or BMW X7; more than seven means the eight-seat Kia Carnival, which nobody books for the look of it and which everyone who has needed it books again.
How much gear. This is where the seven-seat assumption breaks. With a third row upright, the boot in essentially any seven-seat SUV takes a few soft bags and no more. Seven people plus seven people's equipment is not a seven-seater job, and the Carnival's boot is the honest answer.
Whether it is client-facing. If a customer is getting in the car, the Q7 or X7 is worth the difference. If it is your own team and a load of equipment, the Carnival is the better tool and costs less.
Delivery to an Office or Straight to Site

Site delivery is common and worth setting up carefully. Give us the site address rather than the office address if that is where the car is actually needed, and flag any access constraints - a gate, a height restriction, a compound that closes at a certain hour, somewhere a delivery driver will not be able to reach without a phone call. Delivery is priced by distance and shown with the hire and bond before payment.
For an early start, delivery the evening before is worth asking about. It costs the same, and it means a six o'clock departure does not depend on a delivery window.
Payment, GST and Invoicing
The quoted price is GST-inclusive - GST is backed out of the figure rather than added on top, so the quote is the payable amount and nothing new appears at the final step.
Card payments carry a 2% surcharge. Immaterial on a day hire, worth discussing on a standing arrangement, and if your business would prefer to settle another way then ask us directly rather than expecting it as a checkout option.
For documentation, tell us what your finance team needs and we will confirm what we can issue for your particular booking before you commit. That is a more useful answer than a blanket promise, because the right document depends on whose vehicle it is.
Multiple Cars, and Multiple Days
Multi-car bookings are straightforward and priced together rather than as unrelated hires. The question worth answering when you enquire is whether the cars need to arrive at the same place at the same time or simply need to be available - those are different arrangements and the second is usually cheaper.
Multi-day work tapers on price. A week costs less per day than a single day, and if your project runs over a fortnight it is nearly always cheaper to book the whole period at once than to extend repeatedly, because an extension prices from where it starts rather than folding into one longer, better-priced hire.
Excess, and What the Business Is Actually Exposed To
Worth understanding before a booking rather than after an incident, and it is the question finance people ask that nobody puts on a marketing page.
The damage excess is the maximum the hire is exposed to if the vehicle is damaged during your booking through the driver's fault. It is a cap on exposure rather than a charge you should expect to pay - if the car comes back undamaged, it is simply never relevant. Our figure sits at $5,000 across the Performance and Exotic tiers, and it is stated on the booking before you pay rather than explained afterwards.
The bond is separate from that and frequently confused with it. The bond is a pre-authorisation - funds reserved on the named driver's card, not taken - which is released once the car is returned in the condition it left in. It is security against the excess, not a payment toward it.
For a business booking, the two practical implications are worth stating plainly. The first is that the exposure sits with the named driver's card, which is another reason the named-driver question matters more than it looks. The second is that on a site day with equipment being loaded and unloaded around a vehicle, the realistic damage risk is kerbing a wheel or catching a door, not a collision - and both are avoidable with a minute of care that is worth mentioning to whoever is driving.
If something does happen, tell us as soon as it is safe to rather than at return. It is a straightforward process and being prompt about it consistently produces a better outcome than presenting it as a surprise at handover.
Short Notice, Honestly
For ordinary self-drive work we can often help at short notice, and it is always worth asking.
Where it becomes genuinely difficult is when a specific car is required and a substitute would not do - a client-facing booking where the vehicle was chosen deliberately. At short notice the honest answer is sometimes that the car is already out, and we will say so rather than confirming a booking and swapping the vehicle on the day. If a date is fixed and the car matters, book it as soon as the date is.
The same applies to multi-car requests. Finding one suitable vehicle at three days' notice is often possible; finding three that match is a considerably harder ask, and it is worth flagging as early as the headcount is known.
