That is cheaper per head than it sounds, and it runs into exactly one hard constraint: who is old enough to drive.

The Constraint Nobody Mentions Until It Is Too Late

Before anything about which car, settle who is driving, because it eliminates most of the options for most groups.

The minimum driver age is 20 on the general fleet, with a full licence. On the Exotic and Supercar tiers, which is where the Lamborghini, the McLaren, the Ferrari and the AMG GT sit, it is 25. Both are hard stops rather than guidelines, and both exist because there is a $5,000 damage excess attached to these cars.

So a Year 12 student is not driving. That is not negotiable and it is worth saying plainly early in the planning, because groups spend weeks deciding on a car and then discover the constraint in the last fortnight.

What is available: a parent or family friend over 25 can drive anything. Somebody aged 20 to 24 can drive the general fleet with Young Driver Cover at +25% of the daily hire, but not an exotic or supercar. Or the car is chauffeured, and the question disappears.

Group Bookings Change the Maths

The reason Western Sydney formal bookings work is that they are almost never one student in one car.

The usual shape is a friendship group of six to ten splitting two or three cars that arrive together. Two matched Range Rover Sports carry ten people. Split ten ways, the per-head number stops being an extravagance and starts being comparable to what everyone was spending on the night regardless.

This is also why the sensible car for a large Western Sydney group is often not the supercar. A two-seat exotic split between two people is expensive per head and carries almost nobody. A five-seat luxury SUV split five ways is a fraction of it and takes the whole group.

The compromise that satisfies both instincts is one statement car plus capacity behind it. One chauffeured Huracan or M3 for the arrival photograph, and a Range Rover or two carrying everyone else. The photograph happens, and nine people are not paying supercar rates to stand next to it.

The Depot Is Worth Using

Parramatta is one of our two depots, which for a formal is more useful than it is for most bookings.

Collection costs nothing, which on a group booking where everyone is counting the per-head number is a real saving rather than a technicality. More importantly, it removes a delivery window from an afternoon that already has hair, suits, dresses and a photographer in it.

It also means the group can see the cars before committing. For a booking being split between six families, that matters. Somebody's parent is going to want to know exactly what they are paying for, and looking at it is a better answer than a photograph on a website.

If the getting-ready address is a long way from the depot and no adult has a spare hour, delivery is still there and priced by distance. It is a choice rather than a default.

The Photographs Happen at the House

This is the part most groups get backwards, and it is the same in every suburb but it matters more out west because the houses have driveways.

The venue arrival is a short, crowded, high-pressure moment with a queue behind you. It produces one or two good photographs if everything goes right.

The afternoon at somebody's house, with the cars parked on the driveway and nobody waiting, produces most of the images the group will actually keep. There is time, there is space, the light is better, and the cars are stationary so people can be photographed with the doors up rather than in a moving line.

Booking by the day rather than by the hour is what makes that possible. The cars are simply there from the afternoon, and the arrival is one part of the day rather than the whole of it.

Practically: pick the house with the best driveway, not the one nearest the venue.

Arriving Together

A convoy of two or three cars arriving at a venue in sequence is the effect most groups are after, and it takes slightly more organising than it seems.

Cars that leave together do not arrive together. One set of lights separates them, and the second car pulls into the arrival lane four minutes after the first, by which time the moment has passed and a different school's parents are watching.

The fix is to agree a staging point within a couple of minutes of the venue and re-form there. Everybody waits, then the cars go in one after another. It costs five minutes and it is the difference between a convoy and three separate arrivals.

Give every driver the venue address rather than telling them to follow the car in front, for the same reason.

What It Actually Costs

Everything is shown before you pay: the hire, the delivery if you are not collecting, the bond and any Young Driver Cover. There is no line item that appears on the day.

The bond is a hold on a card rather than a charge. The damage excess is $5,000, which is the number worth making sure every parent in the group has heard, because it is the real financial exposure of the night and it should not be a surprise.

Young Driver Cover at +25% of the daily hire is avoidable simply by having a driver over 25 on the booking, which is the single easiest saving available on a formal hire.

Book Before October

November is the busiest month of the year for this fleet, because formal season and wedding season sit on top of each other and both want Friday and Saturday evenings.

A specific car on a specific November Saturday is a genuinely scarce thing by October. If your date is known, check it now. The answer changes what is worth planning around, and there is no cost to asking early.

What to Settle Before Anyone Pays

A group booking split six ways has more ways to go wrong than a single hire, and almost all of them are conversations that did not happen. Five things worth agreeing before money moves.

Who is driving, and how old are they. This decides the car list before anything else does, and it is the item most often left until last.

Who is booking. One person, one payment method. Ideally somebody whose parent is comfortable being named on the booking, because that parent is the one carrying the five thousand dollar damage excess.

What each person owes, and when they pay it. The booking is paid in full to us by one person. Whether the other five have actually transferred their share is entirely between them, and it is a much easier conversation before the night than after.

Where the afternoon happens. Whichever house has the driveway with room for the cars, not whichever is closest to the venue.

What happens at the end of the night. Whether the car is driven home, left where it is, or already gone. This is the one students never raise and parents always ask about.

Booking Around the HSC

Formals land in November and December because they follow the HSC written exams, which means an entire cohort of Sydney schools competes for the same six or seven weekends.

Those weekends also carry wedding season, so November is the single busiest month of the year for this fleet.

The implication is that the time to check a date is well before the exams finish. Groups that start looking once the HSC is over are booking in the final three weeks against everyone else doing exactly the same thing, and the cars with the most demand have gone by then.

If the school has published the date, that is enough to ask. Asking early costs nothing and changes what is worth planning around.

One last thing worth checking with the school rather than assuming: many run a staggered arrival, giving each group a slot so forty cars do not converge on one forecourt at once. Where that exists it overrides everything else in your planning, including whatever time the venue itself would have accepted. Ask for it in writing if you can, because a group that turns up outside its slot either waits in a queue with the engine running or arrives to an empty forecourt, and neither is what the booking was for.

Frequently Asked Questions

What is the minimum age to drive a formal car?

20 on the general fleet with a full licence, and 25 on anything in the Exotic or Supercar tiers. It is a hard stop at checkout. In practice that means a parent drives, an older sibling over 20 drives something that is not an exotic, or you book the car chauffeured.

Is Young Driver Cover charged on a formal booking?

It is +25% of the daily hire and applies to any driver under 25. If a parent over 25 is driving it does not apply. For a group trying to keep the cost down, having the older driver on the booking is usually worth more than it first looks.

Can we collect the cars from Parramatta?

Yes. The depot is here, so collection costs nothing and you are not waiting on a delivery window on an afternoon that is already busy. For a Western Sydney formal this is normally the better arrangement.

How many cars can arrive together?

As many as you want to book, and up to four of them can be genuinely matched Range Rover Sports. Beyond that they are co-ordinated rather than identical, and we will tell you which you are getting rather than letting you assume.

How does the cost work across a group?

One booking and one payment method, then the group settles up between themselves. We cannot split one hire across several cards. Nominate one person to book, and note that the person who books does not have to be the person who drives.
