Who Should Drive Your Wedding Cars, and the Conversations to Have Early

The whole proposition of a self-drive fleet is that people you know drive the cars. That is also the part with the most ways to go wrong, and almost all of them are avoidable with one conversation a fortnight out. This is that conversation, written down.

The Rule That Matters Most

Every person who drives one of our vehicles must be listed on the booking as a driver
before the day. Not at handover, not by text on the morning, and definitely not by
someone being handed keys at a reception.

An unlisted driver voids cover completely. Not reduced, not subject to
a higher excess. Voided. If something happens while an unlisted person is driving, the
protection you thought you had does not exist. This is the one rule on this page with no
flexibility in it at all, and it is the reason we ask for names in advance rather than
being relaxed about it.

Who Can Actually Be Listed

Licence

A full Australian licence, or a recognised overseas licence held for the required
minimum period. Provisional licences are not accepted on the prestige fleet. An overseas
licence not in English needs an International Driving Permit alongside it.

This catches people out at weddings more than anywhere else, because the wedding party
frequently includes people visiting from overseas who assume their licence is enough.
Check it a fortnight out.

Age and history

There are minimum age and driving-history requirements, and they are stricter on the
higher tiers. A twenty-two-year-old groomsman may be fine in a seven-seat SUV and not
eligible for the G-Wagon. Ask us before you allocate people to cars rather than after.

Verification happens in person

We check identity and licence face to face at handover. If the cars are delivered the
afternoon before, that is when it happens, which is another argument for delivering early.

The Alcohol Conversation

This is the awkward one and it is far easier to have a fortnight out than at eleven in
the morning with everyone in the room.

Make it a role, not an imposition

The version that works is deciding early that being a driver is somebody's job on the
day, the same way being a groomsman is. The version that fails is assuming someone will
step up on the morning, because by then everyone has had a glass and nobody wants to be
the one who says so.

Getting ready starts early and so does the drinking

At most weddings the first drink happens well before anyone would guess. If somebody is
driving at one o'clock, they need to know that on the day before, not at midday.

Plan the return leg separately

The drive to the reception is not the problem. The problem is that the cars are still
there at midnight and somebody has to move them. Decide in advance that they stay parked
overnight and we collect them, rather than leaving it to be worked out at the end of the
night by people who should not be driving.

This is the single most common reason a wedding transport plan goes wrong after the
ceremony, and the fix is simply deciding in advance that nobody drives home.

Matching People to Cars

Not everyone should be given any car.

Size is the real variable

A large SUV feels very different from whatever someone drives daily. Someone who drives
a small hatchback will find a G-Wagon genuinely wide in a tight venue car park. That is
not a reason to say no, but it is a reason to give them ten minutes with it the day before
rather than five minutes on the morning.

Give the confident driver the hardest job

Whoever is most comfortable in a big car should take the largest vehicle and the
tightest parking. Whoever is least comfortable should take the shortest, simplest route.
It sounds obvious and it is almost never planned.

The couple's car

Traditionally driven by someone other than the couple. If one of them is driving, make
it the one who is not in a gown, because that is a genuine practical constraint rather
than a tradition.

What to Brief Every Driver On

A short list, ideally the day before with the car in front of them.

Where the fuel filler releases and what fuel it takes. How the drive mode selector
works and to leave it in the normal setting. Where the parking sensors and camera display
appear. How tall the car is, if it is going into a basement car park. Who to call if
anything happens, which should be us rather than the couple. And the route, driven or at
least looked at, rather than followed live from a phone.

What the Excess Actually Means

People sign the agreement without reading this part and then find out what it means at
the worst possible moment. It is worth ten minutes now.

Your liability is capped, not eliminated

If the vehicle is damaged, your liability is capped at the excess figure stated on your
agreement. That figure is shown before you confirm the booking, and it is higher on the
prestige and supercar tiers than on the rest of the fleet.

What sits outside the cap

Usage charges are separate from damage. Fuel, excess kilometres and tolls are yours
regardless and are not part of the excess. So is anything caused by a breach of the
agreement, which is the category an unlisted driver falls into.

Damage is assessed against the handover photographs

We photograph the vehicle with you standing there at handover and again at return. That
is why the release is normally a formality. It also means anything already marked at
handover is documented and cannot later be attributed to you.

The bond is not the excess

The refundable security hold placed on the card at pickup is a separate thing from the
excess, and it is released after the vehicle is returned and inspected. Two different
numbers, frequently confused.

Tell every driver the excess figure

Not to frighten them, but because a driver who knows the number parks differently. It is
a thirty-second conversation that changes how carefully three cars get handled all day.

If Something Happens on the Day

Call us first, not the couple. That is the entire point of giving the drivers our
number in advance.

For anything involving another vehicle, exchange details properly and photograph
everything before anyone moves, exactly as you would in your own car. Do not let it become
the couple's problem on their wedding day; that is what we are for.

Liability for damage is capped at the excess stated on your agreement, assessed against
the handover photographs taken with you present. Usage charges such as fuel sit outside
that cap. And to say it once more, all of that protection depends on the person driving
being listed on the booking.

If the wedding fleet is booked

We never move you down a tier. If your dates are taken, these are the luxury cars we will offer instead, and we will tell you plainly if none of them is free rather than substituting something lesser on the day.

Frequently Asked Questions

Should drivers drive the route beforehand?

Driving it once is ideal and looking at it properly is the minimum. Following a route live from a phone in an unfamiliar car with a full load of passengers is where wrong turns happen, and a wrong turn on a wedding morning costs more than time.

Can the groom drive on the day?

Yes, if he is listed and not drinking. Plenty do, and it works well for the drive between photograph locations. The usual arrangement is that someone else drives the couple to the reception so both of them can finally stop having a job.

How many drivers can we list?

As many as you need, provided each one meets the requirements and is listed before the day. There is no advantage in listing fewer, and listing a spare driver for each car is sensible insurance against someone being unable to drive on the morning.

Can someone drive if they only have a digital licence?

A digital licence is accepted where it is the valid form of the licence, but bring the physical card as well if one exists. Phone batteries fail on wedding mornings more often than you would think, and identity verification happens in person.

Do the drivers need to be at the handover?

Ideally yes, because identity and licence are verified in person. If the cars are delivered the afternoon before, that is when it happens, which is another reason to take delivery early rather than on the morning.

What if a driver pulls out on the day?

If you have a listed spare, nothing happens. If you do not, call us rather than putting an unlisted person behind the wheel, because that voids cover entirely. We would far rather solve it than have you discover the consequences later.

Can anyone in the bridal party drive?

Only people listed on the booking as drivers, and listed before the day rather than at handover. An unlisted driver voids cover completely, so this is the one rule we have no flexibility on.

What licence do the drivers need?

A full Australian licence, or a recognised overseas licence held for the required minimum period, with an International Driving Permit if it is not in English. Provisional licences are not accepted on the prestige fleet.

Can a twenty-two-year-old groomsman drive?

It depends on the car. Minimum age and driving-history requirements are stricter on the higher tiers, so someone may be eligible for a seven-seat SUV and not for the G-Wagon. Ask us before you allocate people to cars.

What about overseas guests?

Very common at weddings and the most frequent cause of a problem. A recognised overseas licence works, with an International Driving Permit if it is not in English. Check it a fortnight out rather than on the morning.

How do we handle the drinking?

Decide early that being a driver is somebody's role on the day, the same way being a groomsman is. Assuming someone will step up on the morning fails, because by then everyone has had a glass and nobody wants to be the one to say so.

What happens to the cars at the end of the night?

Plan for them to stay parked and for us to collect them. Leaving it to be worked out at midnight by people who should not be driving is the most common way a wedding transport plan goes wrong after the ceremony.

Who do the drivers call if something happens?

Us, not the couple. Give every driver our number in advance. For anything involving another vehicle, exchange details and photograph everything before anyone moves.
